Administering Email

To administer you email accounts go to:

http://mail.yourdomain.com

Use your master account username (yourdomain.com@yourdomain.com) and password to access the administrative account.

User Administration
To add a new email account that can be accessed via web-based and client based (Outlook), select ‘User Administration’ under the menu in the top right-hand corner. Click ‘Add’. Enter the UserID (e.g. userID@yourdomain.com), Name, and Password; set the user account preferences, click save. To modify or delete an account, select the account name from the list box and click the chosen option from the buttons to the right.

Alias Administration
To add new email alias (pseudo email accounts that are used for forwarding only, no storage exists for these types of accounts), select ‘Alias Administration’ under the menu in the top right-hand corner. Click ‘Add’. Enter the AliasID (e.g. aliasID@yourdomain.com), select the Alias Type (descriptions are located at the bottom of the page), enter the List File (if applicable), enter the destination (an address this email should forward to), click save. To modify or delete an account, select the account name from the list box and click the chosen option from the buttons to the right.

Using Email Accounts

There are two options to accessing your email account; a web-based (browser) and a client-based (e.g. Outlook). This section will explain how to set your account up in both formats - giving you the flexibility to check your email from literally anywhere.

Web-based

Your email account can be accessed anywhere in the world with Internet connection using a browser. To access your email account type in the following URL into the address bar of your Internet browser:

http://mail.yourdomain.com

Once the site has loaded, enter your UserID (userid@yourdomain.com) and Password into the login form and click the login button.

NOTE: If at any time you need assistance, click on the Help tab located on the main horizontal menu bar.

Changing Options in Your Account

Password

  • Select ‘Change My Password’ under the menu in the top right-hand corner.
  • Enter your new password and enter it again to confirm, click save.

Email Forwarding

  • Select ‘Change My Forwarding Info’ under the menu in the top right-hand corner.
  • Enter the email address you want all your incoming mail forwarded to, click save.

Email Signature

  • Select ‘Change My Signature’ under the menu in the top right-hand corner.
  • Enter your signature (name, contact, message, etc.) into the text box, click save.

Address Book

  • Select ‘Edit My Address Book’ under the menu in the top right-hand corner.
  • To add an address; enter the contact name, enter the contact email, click save.
  • To modify/delete an address; select the address in the list under ‘Modify Address Book’, change the name or email address, click save (or delete to remove).

Message Folders

  • Select ‘Mange My Folders’ under the menu in the top right-hand corner.
  • To create a folder to store email messages in; enter the name of the folder under ‘Create a Folder’, click create.
  • To rename a folder; select the folder from the list under ‘Rename a Folder’, change the name of the folder, click rename.
  • To delete a folder; select the folder from the list under ‘Delete a Folder’, click delete.

Client-based

Your email account can be accessed through an email client such as Outlook or Outlook Express that is installed on your home or office computer.

To add your email account to Outlook:

  • select ‘Email-Accounts…’ under ‘Tools’ in the main menu
  • select ‘Add new email account’, click next
  • select ‘POP3’, click next
  • enter your name and email address
  • for ‘Incoming mail server (POP3) enter mail.yourdomain.com
  • for ‘Outgoing mail server (SMTP) - see below
  • for ‘User Name’ enter your full email address (i.e. yourname@yourdomain.com)
  • for ‘Password’ enter the password that was assigned to you, click next

SMTP Instructions
The Fusix web-mail service can only receive incoming mail to your account; it does not support SMTP (the protocol which allows mail to be sent). This is where your ISP (Internet Service Provider) comes in. Your ISP, such as Cogeco or Bell Sympatico, supplies you with an email service which comes with an SMTP server to send your mail. Enter this server address into the SMTP box.

Using Spam Firewall

Each email account and alias is protected by the Barracuda Networks Spam Firewall. The spam firewall uses special scanning technology to intercept messages that are deemed to be spam. When a new message is received the spam firewall decides on one of four options:

  • deliver directly
  • deliver directly with subject line modification (i.e [possible spam])
  • quarantine
  • delete

Remarkably, the spam firewall is very accurate and is also capable of adapting by slowly learning how you like to handle your mail. The spam firewall will reduce the amount of spam you receive by an incredible amount but only if you take the time to learn how to use the spam firewall features effectively.
